Accepted Documentation

 

All Estate Agents are required by LAW to obtain & keep documents for All Vendors AND PURCHASERS in conjunction with the Money Laundering Regulations 2007. This means we require Identification and proof of address for all customers. We are also under obligations to obtain Information and documentation of any beneficial owners of a property. Where appropriate, the source or destination of funds may also be requested. Without this information we will be unable to proceed with any work on your behalf.

 

Individual Identity Documents: 

We require 2 documents for each person, 1 from list A and 1 from list B.

 

LIST A - Proof of Identity

  • Valid Passport
  • Full Valid Photo Card Driving Licence
  • A National Identity card
  • Firearms Certificate
  • A Valid HM Forces identity card with signatory’s photograph

If you DO NOT HOLD any of the above we can accept 1 of the following –

  • An old style Driving Licence
  • Government issued document which includes full name & address e.g. recent evidence to state or local authority funded benefit such as housing benefit, council tax benefit, pension, tax credit. LESS THAN 3 MONTHS OLD

 

LIST B – Proof of Address

  • Utility Bill - Gas, Electric or Water (not telephone/ mobile phone bill) LESS THAN 3 MONTHS OLD
  • Latest Council Tax bill
  • Bank Statement showing address LESS THAN 3 MONTHS OLD
  • Annual Mortgage Statement for year just ended
  • Full Valid UK Driving Licence Photo Card or Old Style if not used as proof of Identity
  • Government issued document which includes full name & address e.g. recent evidence to state or local authority funded benefit such as housing benefit, council tax benefit, pension, tax credit. LESS THAN 3 MONTHS OLD if not used as proof of Identity

Original documents must be produced by each person to our office so copies can be taken & certified as ‘A true copy of the original & a true likeness of the client.

PLEASE NOTE:

A property cannot be marketed until these documents are produced.

A purchaser cannot have an offer formally accepted and Sales Notifications processed until these documents are produced.

 

 Proof Of Ownership 

Prior to any property being marketed we will require additional documentation to confirm proof of ownership. This MUST be provided at the same time as all money laundering identification, as stated above.

Probate

If you are acting as a Representative of an Estate we require the following:

  • Grant of Probate (if a will was left)
  • Letter of administration (if no will left)
  • Individual identity evidence from List A & B for the Personal Representative, either executor or administrator

 

Limited company

If you are acting as a Representative of a UK Company we will also require the following:

  • Certificate of Incorporation
  • Articles of Association
  • Memorandum of Association
  • Latest Annual Return or Confirmation Statement, with details of current company officers
  • If offshore, nominee director declaration and a general power of attorney
  • Individual identity evidence from List A and B for all individuals or entities with 25% or more of the shares or voting rights in the company

If you are acting as a Representative of an Offshore Company we will also require the following:

  • Certificate of Incorporation
  • Articles of Association, Memorandum of Association, Latest Annual Return with details of current company officers, Share Certificate(s) showing the Ultimate Beneficial Owner OR
  • Certificate of Incumbency
  • If the shares are owned by another company, repeat steps above for the holding company
  • Nominee director declaration and/or general Power of Attorney (if applicable)
  • Individual identity evidence from List A and B for all individuals or entities with 25% or more of the shares or voting rights in the company

 

Trust

If you are acting as a Representative of a Trust we require the following:

  • Trust deed
  • List of trustees
  • List of beneficiaries
  • Individual Identity evidence from List A & B for all individuals with a vest interest in 25% or more of the capital and/or those who exercise control over the Trust
